The Greek Game Developer Association respects the right to data protection of users of the website hgdb.gamedev.gr (the “Website“) and complies with applicable legislation on data protection. The processing of personal data of users (“Users” or “you“) is carried out in accordance with the General Data Protection Regulation (Regulation (EU) 2016/679, the “GDPR“) and any other applicable legislation on data protection in Greece.
The purpose of this Data Protection Notice (the “Notice“) is to explain how we process and protect your personal data when you use the Website and/or submit an application to be registered in the Hellenic Games Database (the “HGDB“).

Who is the controller of your personal data?

The controller of your personal data under the GDPR is the Greek Game Developer Association, headquartered in Athens, 144 C September Str., Greece, (the “Association” or “we“).

What kind of data do we collect – What are the purposes and legal bases for processing your personal data?
  1. Submission of an application for registration to the HGDB
    When you apply on our Website for registration of your company/group and/or your game, we collect, in addition to data concerning legal entities (companies) or groups of persons, also data concerning individuals and, therefore, personal data, if they correspond to the data of representatives of a group or individual companies, such as identification data and contact details (name, address, telephone number, (*)email, (*)VAT number, etc.). The completion of certain fields of the application form (without asterisk(*)) is optional. The purpose of collecting your data is the promotion of the games on the Website for the purpose of supporting the relevant industry and its products, the extraction of statistical and demographic data, which the Association delivers to public bodies, European non-governmental organizations (NGOs) (e.g., European Games Developer Federation), the combination of the data with other information (publicly available or voluntarily provided) in order to optimise the HGDB and the storage and subsequent use of the data for purposes similar and compatible with the above. The Website does not publish all the personal information you submit during your application but only the name of the applicant (company/team/person) and publisher (if any) along with other information such as game title, release date, platform, etc. The legal basis for processing is the legitimate interest of the Association (Art. 6 (1) (f) GDPR), which consists in the creation and promotion of a comprehensive and official archive of the game industry in Greece and the collection and dissemination of relevant demographic data, in accordance with its statutory purpose.
  2. Information we collect automatically
    When you visit the Website, certain information is automatically collected and recorded in log files. This data may include information about the device and browser you are using, your network connection, your IP address, etc. The temporary storage of the IP address is necessary to enable delivery of the website to the user’s computer. We store the above data to ensure the functionality of the Website, security, availability, integrity and confidentiality of the information from accidental or illegal acts or incidents. The legal basis for the temporary storage of data and log files is our legitimate interest (Art. 6 (1) (f) GDPR).
Who do we share your personal data with?

Your data is (or may be) accessed by:

  • Partners of the Association who need to have access in order to provide us with their services (e.g., technical support for the Website);
  • Authorized members of the Association, who are required to have access to your data in order to process the registration of your data;
  • Competent Authorities, as appropriate, to comply with legal obligations of the Association, upon request;
  • The general public, as some of your data is published on our Website.

Please note that any data disclosures to public bodies and/or European NGOs are made on an anonymous basis (anonymized aggregated data).

For how long do we keep your data?

The period of time your data is kept depends on the purpose for which it was collected. The data we collect when you submit a registration application to the HGDB (under 3.1. above) is kept for as long as the HGDB will be maintained, as it serves archiving purposes. Data collected automatically and recorded in log files (under 3.2. above) are kept for 90 days.

Security measures – Data transfer outside the EU

The Association implements appropriate technical and organizational security measures to protect the personal data of the Website Users. Our servers are located within the European Economic Area (EEA) and your personal data is not transferred outside the EEA.

Linking to third-party websites

Our Website has links, hyperlinks, banners or tabs by clicking on which you will be directed to third party websites. Please refer to the relevant data protection notices/policies, as the Association is not responsible for the processing of personal data carried out by these websites.

What are your rights in relation to your data?

The Association ensures that you can exercise your rights in relation to your personal data. In particular, you have the right to request:

  • access to your data;
  • correction or completion when they are inaccurate or incomplete;
  • deletion, if they are no longer necessary for us according to the above mentioned processing purposes and there is no longer a legitimate reason for keeping it;
  • restriction of processing;
  • object to the processing where the legal basis for processing is our legitimate interests.

You can exercise the above rights free of charge by sending an email to the following address contact@hgdb.gamedev.gr. However, if your requests are manifestly unfounded, excessive or repetitive, the Association may charge you a reasonable fee.

Finally, you have the right to lodge a complaint with the Hellenic Data Protection Authority (https://www.dpa.gr/) if you believe that your rights have been violated.

Notice amendments

We reserve the right to amend this Notice whenever we deem it necessary or in compliance with any applicable legal requirements. In case of any amendment to the Notice, we will also change the date of the “last update” at the top of this text and the updated Notice will be effective from the time of its publication on the Website.
